About the Role

Our client is a Sydney-based proptech startup building modern building and facilities management software. They are hiring an Executive Assistant to support the Founder, combining C-suite support with tech-savvy operational coordination to help the team move quickly and stay organized.

Key Responsibilities

  • Executive support: Calendar and inbox management, travel coordination, meeting prep, minutes, and follow-ups.
  • Operating cadence: Own founder routines, OKR check-ins, weekly exec agendas, and action tracking.
  • Project coordination: Drive small cross-functional projects, track milestones, and unblock owners.
  • Research & reporting: Conduct research, analyze data, and summarize key insights.
  • Business support: Assist with invoices, proposals, CRM updates, and basic operational tasks.
  • Marketing support: Draft and put out social media posts; assist with blog publishing.
  • Administrative support: Handle documentation, follow-ups, phone inquiries, and general admin.
  • Tech setup: Support basic tech tasks such as setting someone up in Google Workspace.
  • Ad hoc tasks: Take on varied responsibilities as needed in a startup environment.

Required Skills

  • Career EA (3-7+ years) supporting C-level leaders in startups/tech or a tech-savvy operator from a startup/scale-up ready to run gold-standard EA routines.
  • Strong executive support and organizational skills.
  • Comfortable managing small projects and cross-functional coordination.
  • Tech-savvy with excellent written and spoken English.
  • Mastery of calendar/email triage, meeting prep, and executive prioritization.
  • Strong project management: clear plans, owners, critical paths, and status updates.

Nice to have

  • Experience in early-stage startups (10–20 people)
  • Exposure to invoicing or light accounting tasks
  • Experience preparing proposals or supporting lead research
  • Experience managing social media content
