Role Overview
Were hiring an Administrative Officer to provide reliable, day-to-day administrative support to the partners and legal team. You'll manage calendars and documents, coordinate client communications, and keep operations running smoothly in a fast-paced, detail-oriented environment.
Key Responsibilities
- Manage calendars, scheduling, and basic travel logistics
- Prepare, format, and proofread legal/business documents; ensure version control and proper filing
- Maintain digital records and case files; uphold confidentiality and data integrity
- Coordinate client intake, calls, and correspondence; draft simple emails/letters and meeting minutes
- Support billing/timekeeping and invoice preparation; track expenses
- Track deadlines and deliverables; follow up with stakeholders
- Liaise with vendors/service providers; handle ad-hoc operational tasks
Qualifications
- 2+ years in administrative/operations support (law firm or professional services preferred)
- Excellent written and spoken English; strong client service skills
- High attention to detail, organization, and discretion with sensitive information
- Proficient with Google Workspace/Microsoft 365 (calendars, spreadsheets, file management)
- Familiarity with legal/case/document management tools is a plus
- Able to work independently, prioritize multiple tasks, and meet tight deadlines
