Role Description
Our client is a US based construction company seeking an Executive Assistant. As the Executive Assistant to Our client, you will play a pivotal role in ensuring the smooth operation of his daily professional and personal life. You'll be the right hand to Our client, managing schedules, coordinating communications, optimizing workflows, and assisting with personal tasks to keep Our client focused on leading his organization to success. This position is fast-paced, dynamic, and mission-critical.
Responsibilities
- Live out client's culture and core values
- Assist leader with providing accountability for other team members' goals and commitments
- Be proactive and assertive in finding new ways/tasks with which to help the leader
- Maintain leader's calendar and email inbox. Set appointments and respond to emails on behalf of the leader. Resolve appointment conflicts
- Keep leader informed about project deadlines. If needed, participate in meetings with leader and act as a stand-in
- Act as the primary point of contact for the owner; a liaison between the leader and internal and external stakeholders
- Keep leader informed about team members' birthdays, work anniversaries, team members' spouse/kids' birthdays, etc
- Create and send out meeting agendas to attendees in advance
- Assist leader in completing various tasks as needed. Serve the leader in daily/routine work
- Arrange travel (car rental, hotels, airbnb, meals, etc), including international
- Maintain an ongoing prioritized list of future projects to eliminate downtime between projects
- Deliver timely, high-quality project results for the leader and for the company
- Create, develop and maintain standard operating procedures (SOPs) for routine/recurring items
- Keep up to date with new company-wide projects, processes, and procedures
- Recommend and build new procedures/processes/systems as life evolves
- Other duties as assigned
Requirements:
Must Have:
- 5+ years of experience as an executive assistant supporting a C suite executive, founder, or high-profile individual
- Proven ability to manage complex schedules, prioritize tasks, and meet tight deadlines
- Exceptional communication skills (written and verbal) with a high degree of professionalism
- Strong proficiency in productivity tools such as Microsoft Office, Google Workspace, and project management software (e.g., Asana, Trello)
- Ability to maintain confidentiality and exercise discretion with sensitive information
- Outstanding organizational skills and acute attention to detail
Would be Nice to Have:
- Deep familiarity with the construction and real estate industries
- Advanced user of digital tools, technology and software, including AI
- Corporate event planning experience
- Previous experience as a personal assistant and/or household manager
